Podsuite (“we,” “us,” or “our”) respects your privacy. This Privacy Policy explains what information we collect when you use our website, app, and services (the “Service”), how we use it, who we share it with, and what rights you have. By using the Service, you agree to the practices described here. If you do not agree, please do not use the Service.

2. Information We Collect

We collect information you provide directly and information we obtain when you use the Service.

Account and profile. When you register or sign in (including via Google or other third-party auth), we collect your email address, name (if provided), and any profile or onboarding information you submit (e.g. podcast or organization name, category).

Content and usage. When you use the Service, we collect and process the audio files you upload, transcripts and other content we generate (e.g. show notes, chapters), and usage data such as how you interact with the app (e.g. pages visited, actions taken). We use this to provide transcription, speaker diarization, and related features and to improve the Service.

Payment and billing. Payment processing is handled by Lemon Squeezy (or other payment providers we use). We do not store your full card number. We receive and store billing-related information such as plan, subscription status, and transaction history as needed to manage your account and support.

Communications and support. If you contact us or use in-app support (e.g. chat widgets), we collect the content of your messages and any contact details you provide.

Cookies and similar technologies. We use cookies and similar technologies for authentication, preferences, security, and analytics (e.g. to understand how the site is used). You can control cookies through your browser settings.

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and improve the Service (transcription, show notes, exports, and related features);
  • Create and manage your account and authenticate you;
  • Process payments and manage subscriptions and credits;
  • Send service-related communications (e.g. confirmations, security or product updates);
  • Respond to your requests and provide support;
  • Analyze usage and trends to improve the Service and user experience;
  • Comply with legal obligations and enforce our terms and policies;
  • Protect the security and integrity of the Service and our users.

We do not sell your personal information. We may use aggregated or de-identified data for analytics and product improvement.

4. Sharing and Disclosure

We may share your information in the following circumstances:

  • Service providers. We share data with vendors who help us operate the Service (e.g. hosting, transcription and AI providers, payment processors like Lemon Squeezy, email and support tools). These providers are contractually required to use the data only to perform services for us and to protect it appropriately.
  • Legal and safety. We may disclose information if required by law, court order, or government request, or when we believe disclosure is necessary to protect our rights, your safety, or the safety of others, or to investigate fraud or violations of our terms.
  • Business transfers. If we are involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to the same privacy commitments.

5. Data Retention

We retain your information for as long as your account is active or as needed to provide the Service and fulfill the purposes described in this policy. We may retain certain data longer where required by law, for legitimate business purposes (e.g. resolving disputes, enforcing agreements), or for backup and security. When we no longer need it, we delete or anonymize it in accordance with our internal retention practices.

6. Security

We implement technical and organizational measures to protect your data against unauthorized access, alteration, disclosure, or destruction. These include encryption in transit and at rest where appropriate, access controls, and secure development practices. No method of transmission or storage is 100% secure; we cannot guarantee absolute security but we work to protect your information in line with industry standards.

7. Your Rights and Choices

Depending on where you live, you may have the right to:

  • Access the personal information we hold about you;
  • Correct or update inaccurate information;
  • Delete your information (subject to legal or operational requirements);
  • Portability — receive a copy of your data in a structured, machine-readable format;
  • Object or restrict certain processing (e.g. for direct marketing or in some jurisdictions, for processing based on legitimate interests);
  • Withdraw consent where we rely on consent for processing;
  • Lodge a complaint with a supervisory authority (e.g. in the EU/EEA or UK).

You can also update your account details and preferences in the app, and you may delete your account (subject to our terms) which will initiate removal of your data in line with our retention policy.

8. International Transfers

Your information may be processed in countries other than your own, including the United States, where our service providers operate. We ensure appropriate safeguards (e.g. standard contractual clauses, adequacy decisions) are in place where required by law for such transfers.

9. Children

The Service is not intended for users under 16. We do not knowingly collect personal information from children under 16. If you believe we have collected such information, please contact us and we will delete it promptly.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated policy on this page and change the “Last updated” date. For material changes, we may notify you by email or through the Service. Your continued use of the Service after the effective date constitutes acceptance of the updated policy.
